ABOUT VCA SOFTWARE
More Than 20 Years of Claims Software, Built by an Adjuster
VCA Software makes claims management software for carriers, MGAs, TPAs, independent adjusting firms, and captives and self-insured organizations. It began with an adjuster's paper files, and it still builds from the claim up.
WHERE VCA STARTED
It started in an adjuster's filing cabinet
VCA is a workflow tool built by an adjuster for adjusters. The founder, Lee Picano, worked claims at his father's independent adjusting firm, where every file lived on paper: handwritten file notes, time written down after the fact, and documents spread across folders and filing cabinets. Finding one detail on a claim could mean reading through pages of it.
He also had a passion for technology, so he went back to school to learn to code. As he learned, he applied it to the work he knew. He started with the everyday problems: file notes that couldn't be searched, time that had to be pieced together from memory at the end of the day, and documents that were never all in one place.
The company he founded to sell the software he built was Virtual Claims Adjuster Inc., which is VCA Software today.
The same thinking is still visible in the product. Open a claim in VCA today and the tabs are laid out like a well-kept file folder, because that's how adjusters already organize a claim. The difference is that finding something takes seconds instead of pages.
It started with the adjuster because that's where the promise of insurance is kept, face to face with the policyholder. It's still the idea behind everything we build: software that works the way claims work.
VCA TODAY
What VCA Is
A claims management platform. VCA ClaimsCore runs the claim and is complete on its own; add-ons work from that same claim, in your own account.
What VCA Is Not
Not a policy administration system. Not a suite with a claims module bolted on.
What VCA Cares About
We care about how the claim ends: for the insured, the adjuster, and the client who answers for it.

AI built the way VCA builds: from the claim up
VCA waited on purpose. It watched how claims organizations used AI, listened to clients and started where the work already was: the documents adjusters already upload, and first notice. ClaimsAI by VCA works inside one claim at a time. It finds, summarizes and drafts, and the claims professional decides.
- DocumentsEvery document on the claim, read and summarized.
- ChatAsk about the claim, and the answer comes from the claim.
- Standing ChecksWhat needs attention on the claim, raised before anyone asks.
- First Notice (FNOL)Help at first notice, so the claim is created properly.
WHAT VCA BELIEVES
The promise of insurance depends on the work of claims
Insurance is a promise to the policyholder. Claims is where the promise is kept. Everyone who touches a claim is fulfilling the promise.
The belief sets how VCA builds: deep in claims rather than wide across a suite, which is also why it goes live in weeks and runs beside the policy system you already have.
Being a pure claims company, with no services arm competing with the people it serves, lets VCA stay on their side of the table.
Claims shouldn't be your afterthought. It's the relationship with the insured. It's about a positive outcome. Claims are everything.

WHERE THE COMPANY IS GOING

John Varghese
Chief Executive Officer
WHY CLAIMS
“I've spent my career finding the places where technology was about to change an industry, and getting there early. Claims is neither new nor early. It's the rare case where the new tools and twenty years of domain knowledge are both in the same building, and that's where the difference gets made.”
Two decades of claims logic are built into VCA, learned one file at a time from the people who work them; no new entrant starts with that, and no AI model can infer it. The VCA platform has been rebuilt on a modern database and codebase so that depth now runs on data clean enough for AI to be useful inside the claim, with a person in charge. The direction is to bring that to the operations that need a modern claims system at a reasonable investment: carriers, MGAs, TPAs and adjusters across four regions and the Lloyd's market.
WHERE THE PRODUCT IS GOING

Ilda Cairns
WHY CLAIMS
“Before I led the product, I ran Client Services. I've been on the other end of the phone when a claim goes sideways, and I build so that call doesn't have to happen.”
Ilda owns the decisions behind the platform and why it evolves the way it does. She also writes on the discipline itself: her three-part series, Proof, Not Attestation, covers what Lloyd's Principle 4 asks of managing agents and how the people handling claims for them evidence compliance.
