THE CLAIMS PLATFORM

VCA ClaimsCore

VCA ClaimsCore is the claims platform for property and casualty operations, complete on its own. It carries each claim from first notice to close, in your loss types and your terminology. Implementation starts with discovery and has you live in weeks, not years.

CONFIGURED TO FIT

THE PROBLEM IT SOLVES

When one claim is spread across a legacy system, an inbox and a spreadsheet, every handoff means keying it in again and every audit means rebuilding the story after the fact.

WHAT IT DOES

What does VCA ClaimsCore do?

Eight capabilities, and the carrier work beneath them, before a single module is added.

Configured by Loss Type

Each loss type opens with its own tabs and fields, in your own terminology, from first notice.

FNOL Software →

Assignment and Workflow

Your own stages, permissions and rules. Assign by hand, from a queue, or by loss location, workload or client, with a live status monitor for what is moving and what is stalled.

Claim Tracking →

Notes, Documents and Photos

Notes, drag-and-drop and bulk upload, and combined PDF packages, all timestamped and kept on the claim.

Letters and Email

Word-based letters and reports that fill from the claim, and email sent from the claim through your own mail server and logged to it.

Reserves, Authority and Payments

Reserves by insurer and by type: indemnity, loss, expense and adjusting fees. Each revision keeps its reason and who made it, and every payment is recorded against its reserve.

Access and Audit Trail

Permissions down to individual statuses and actions, and a record on every claim of who did what, and when.

Reporting and Admin Console

Standard and company-wide reports, custom queries and live dashboards from the same claims, and a no-code admin console for fields, rules, workflows and templates.

Invoicing, Time and Expense

For operations that bill their clients: time and expenses logged on the claim, fee schedules by client, and invoices split across co-insurers. Intuit QuickBooks and Sage receive the claim financials.

CARRIER WORK ON THE CLAIM

  • RecoveriesSubrogation and salvage on the claim, from the recovery agent and key dates to funds received. Each recovery posts against the reserve it offsets, the net shows on the claim, and a Subrogation Potential flag marks the ones worth pursuing.
  • Litigation and Defence FlagsLitigation and Defence flags mark the claims that need special handling and make them searchable. Defense counsel attach to the claim as contacts, and payments to attorneys are recorded on it.
  • Catastrophe WorkEach claim's loss details carry a Cat Code and Treaty Year, and a CAT claim team takes the surge assignments and searches them as one set.

Also in the Core: adjuster license tracking, the interface in English, French or Spanish, and an API framework for policy-system, partner and finance connectivity. XactAnalysis, Symbility, Encircle and the Rest of What VCA Connects To →

WHY IT MATTERS

  • Cleaner Handoffs

Nobody keys in what is already on the claim. The next person picks it up where the last one stopped.

  • Reserves That Reconcile

Each reserve shows the payments made against it and the balance remaining, so nobody works it out in a spreadsheet.

  • Audit-Ready by Default

The audit trail is written as the work happens, so an auditor reads the record on the claim and nobody has to rebuild it.

  • Fitted to How You Work

A firm handling livestock claims got its own Livestock tab instead of describing a horse as a generic loss. Configure what matches the work, skip the rest, add later.

ONE CONTROL, ON THE CLAIM

When a Reserve Goes Past an Adjuster's Limit

  1. Reserve Above the LimitAn adjuster enters a reserve past their own authority.
  2. Submitted for ApprovalClaimsCore stops and prompts a submission.
  3. Approver ChosenThe request routes to the approver they pick.
  4. Waiting in Pending ApprovalsThe request shows on the claim, waiting for approval.
  5. Note Written to the ClaimWho it was sent to, recorded on the claim.
  6. Active Once ApprovedUntil then the reserve is not in place on the claim.
Authority limits are set per client or per program. A drawing of the control, not a product screen.

ADD-ON: CLAIMSAI · ARRIVING BY THE END OF 2026

Vicky™, Your Team's New Colleague, Powered by ClaimsAI

Once a claim is in ClaimsCore, she reads the documents your adjusters upload, summarizes what matters, drafts for review, and answers questions about that claim.

She never sets a reserve, approves a payment, or decides a claim. What she drafts enters the claim only when a person accepts it, and the claim's activity log records who reviewed it. She helps. You decide.

How ClaimsAI Works →

WHY VCA

Why Operations Choose VCA

Two decades of claims logic are built into VCA, learned one file at a time from the people who work them. No new entrant starts with that, and no AI model can infer it.

Suites go wide in software. ClaimsCore goes deep in claims.

  • Depth of Claims ExpertiseBuilt from the claim up, by an adjuster, for the people who work the claim and the people who answer for it. VCA has been building claims software for more than 20 years, and several clients have been with it for more than ten.Why VCA →
  • Speed of ImplementationDiscovery first, then live in weeks, because VCA sticks to the essentials of claims instead of everything a suite has to build.
  • Capital EfficiencyYou buy the claims layer, beside the policy system and ledger you already run, and only the add-ons your work needs, at a fraction of the cost of a core replacement.

Questions About VCA ClaimsCore

What is VCA ClaimsCore?

VCA ClaimsCore is VCA Software's claims management platform for property and casualty claims operations. It carries each claim from first notice to close: configuration by loss type, assignment and workflow, notes and documents, letters and email, reserves and payments, access and the audit trail, reporting, and invoicing, time and expense. Add-on modules work on the same claim, and none is sold without ClaimsCore.

Do we need an add-on module to run claims on ClaimsCore?

No. VCA ClaimsCore is complete on its own, and a client running only ClaimsCore is never at a disadvantage. InsuredConnect, PolicyConnect, ClientPortal, DataBridge, ClaimsPay, VCA Insights and LloydsConnect are each added for a specific job, when an operation takes on that work.

Does ClaimsCore replace our policy administration system?

No. ClaimsCore runs claims beside the policy administration system you already have. Its API framework connects policy-system, partner and finance data, and PolicyConnect, an add-on, brings policy detail onto the claim from the policy system.

We oversee claims our TPAs handle. How does ClaimsCore fit?

Each firm works the claim from its own seat, in its own VCA account. VCA's API framework moves claims data between those accounts, ClientPortal shows you your own claims, VCA Insights reports across the book, and DataBridge delivers the data into your own warehouse. Together, the three add-ons make up the oversight package, added to ClaimsCore, and it is VCA's typical package for captives and self-insureds, who oversee the claims their TPAs handle.

How long does it take to go live on ClaimsCore?

Weeks, not years. Every VCA implementation starts with discovery, which maps how your claims actually move before anything is configured. Carriers plan on the Carrier License: 12 weeks to 6 months. An Enterprise License deployment runs 8 to 16 weeks, and on a Standard License, configured to your workflows, ClaimsCore goes live in 3 to 4 weeks. Which band you are in is scoped at quote, and three things decide it: how far your handling model sits from the defaults, how many systems have to connect, and how much claim history has to move. File handlers typically learn the platform in about 30 minutes.

Can you move our existing claims, and what do you need from us?

Yes. Data migration is its own phase of every VCA implementation, and open and historical claims move into VCA ClaimsCore. What VCA needs from you starts in discovery, which maps how your claims actually move, from intake sources and assignment rules to authority levels and reporting obligations, before anything is configured. Vanguard Claims moved 36,000 claim files onto VCA in four months.

Who is ClaimsCore not the right fit for?

ClaimsCore is built for claims operations that need to be live in weeks. A multi-year core replacement is a different purchase. It supports every property and casualty line, but not workers' compensation or health benefits claims, so a workers' compensation or health benefits book should look elsewhere.

How is ClaimsCore secured?

Client data is encrypted in transit and at rest, and VCA supports single sign-on (SSO). VCA holds SOC 1 and SOC 2 reports, each Type 1 and Type 2, examined by Prescient Assurance. Inside ClaimsCore, permissions reach down to individual statuses and actions, and each claim keeps a record of who did what, and when.

Can we get our claims data out of ClaimsCore?

Yes, on a schedule, with DataBridge, an add-on that delivers your claims data into your own data warehouse or BI tool, as often as hourly, in a standardized data model. How your data comes back at the end of an agreement, in what format and on what timeline, is a term to get in writing from VCA, and from every vendor you compare, before you sign.
