THE PROBLEM IT SOLVES

Carrier and program clients want to know where their claims stand. Today each question about a claim becomes an email or a call to your adjuster: where it is, what the reserve is, whether the report is in. Somebody stops work to look it up and write back.

WHY IT MATTERS

What Changes When a Client Can Look for Itself

Your clients answer their own questions about a claim, and your adjusters stop answering the same ones by email. At Synergy Adjusting, insurers, reinsurers and MGAs follow their claims this way. Synergy Adjusting →

  • Status Without a Phone Call

A client with a question opens the claim and finds the answer, so your adjusters are not pulled off their work to send it.

  • One Set of Numbers

Your client reads the claim your adjusters entered, so there are fewer arguments about whose number is right.

  • Oversight Between Reporting Dates

A client carrying an oversight obligation of its own can check the claims it answers for without waiting for the next report.

  • A View to Show When You Bid

In the pitch for a carrier's program, you can show the carrier the view it would get, branded to your firm.

“With VCA, we're able to show our partners exactly what's happening, when it's happening.”

WHAT IT DOES

What can your clients do in ClientPortal?

Four jobs a client does for itself, in its own view.

Their Claims, as They Stand

Clients sign in to the claims that concern them and open any one to see details, status, the notes you share and financials. Turn on reserve history and they also see the date of each change, who made it and why.

Claim Tracking →

Documents Both Ways

Clients download the documents you share and upload their own by drag and drop, straight onto the claim.

Messages and New Claims

A client can message the adjuster from the portal, and the message arrives in the adjuster's own messages. New claims can be submitted from the portal too.

Reports, Ready to Download

Reports you flag for the portal wait on the claim for the client to download, so nobody on your team has to send them.

Reporting Across the Book →

HOW IT FITS

What each client sees is your call

Your client signs in to a view of your VCA account. The claim stays where your adjusters work it, and the client sees only what you open.

  • Access Set Client by ClientYour team grants access from the client's profile, one representative at a time, and sets what each opens: by company, claim, Lloyd's classification and tab. Access is role-based, with an access record, and a Portal Usage record on each client's profile.
  • Shared Line by LineEach document and report on the claim has its own Show On Portal flag. Notes marked Internal, and non-billable time, never reach the portal.
  • Reads the Live ClaimThe portal reads the same ClaimsCore claim your adjusters update, so what your client sees changes when the claim does.
  • Branded to Your Firm or Your ClientYour logo or your client's, with its own welcome message. New client views are set up without development work.

WHY VCA

Why Adjusting Firms and TPAs Choose VCA

Your clients judge you by how their claims are handled. VCA goes deep in claims, so the view you give them is the claim itself.

  • Depth of Claims ExpertiseAn adjuster built VCA from the claim up, for the people who work it, and VCA has been building claims software for more than 20 years. Why VCA →
  • Speed of ImplementationDiscovery comes first and maps the reporting you owe each client. ClaimsCore then goes live in 3 to 4 weeks on a Standard License, or 8 to 16 weeks on an Enterprise License. Carriers plan on the Carrier License, 12 weeks to 6 months.
  • Capital EfficiencyClientPortal is added to ClaimsCore, so giving clients a view never means replacing the systems around it. Ask for it on its own line in your quote.

Questions About ClientPortal

What is ClientPortal?

ClientPortal is an add-on to VCA ClaimsCore, the claims platform that is complete on its own, for firms that handle claims for carrier and program clients. It gives each client a branded login to its own claims, documents and reports, limited to what the firm chooses to show. It reads the same claims your adjusters work in ClaimsCore.

Who uses ClientPortal?

MGAs, program clients, brokers, carriers and auditors use it directly, each seeing only the claims that concern them. On your side, it is chosen by firm leadership, account management and client services leads, and the operations directors who answer for what each client can see.

Our TPA runs VCA. How do we get a ClientPortal login?

Ask your adjusting firm or TPA. ClientPortal is added to its VCA ClaimsCore account, and its team grants access to each of your representatives and sets what each one sees: by company, by claim, by Lloyd's classification and by tab.

Can we keep internal notes out of a client's view?

Yes. Notes marked Internal stay off the portal, and so does non-billable time. Each document and report on the claim has its own Show On Portal flag, so it appears in the client's view only when that flag is on.

What does a carrier or program client see about reserve changes?

Where you give it access to the claim's financials, it sees the reserve history on its own claims: each change, the date of it, who made it and the reason given, the same history your adjuster sees. The client does not have to ask why a number moved.

How is client access to ClientPortal secured?

Access is granted per client representative and set by company, by claim, by Lloyd's classification and by tab. It is role-based, with an access record. Behind the portal, the platform is covered by VCA's SOC 1 and SOC 2 reports, each Type 1 and Type 2, examined by Prescient Assurance. Ask in the review how client representatives sign in, how a login is removed when someone leaves the client, and what the access record shows.

Is ClientPortal a data feed?

No. ClientPortal is a view: your client signs in and sees its own claims within the access you set. Claims data delivered on a schedule into a data warehouse or BI tool is DataBridge, a separate add-on, and policyholders reporting and following their own claims use InsuredConnect.

Can our firm get its claims data out of VCA?

While you run VCA, DataBridge, a separate add-on, delivers your claims data into a data warehouse or BI tool your firm owns, on a schedule you set, so a copy lives in your own infrastructure. For the end of the agreement, ask in the review and get the answer in writing: the format, the timeline and the cost of returning your claims data. Put the same question to every vendor you compare.

What if our client runs its own VCA account?

Then each firm works the claim from its own seat, in its own VCA account, and VCA's API framework moves claim data between the two accounts. ClientPortal is for the client that wants to see its claims in your account without running one of its own.
