Sage, and the Posted Line That Can Show Its Work

Any ledger will hold a number. The thing that costs a finance team days is what one particular line was for, asked months later by somebody entitled to an answer.

VCA Software connects to Sage so a posted line in your ledger keeps the claim that produced it. A line that gets questioned afterward is followed back rather than reconstructed.

  • Out: The Claim's Financials, to Sage.
  • Without it: a total cannot be traced back, and the ledger carries an entry with no claim behind it.
VCA runs the claims layer and posts clean, insurance-ready financials to your general ledger via API. The claim stays the supporting record behind the entry. An illustration of the posting to Sage.

IN THE CLAIM

One Posted Line, Read Backwards

An audit starts at a number in a closed period and asks narrower questions from there. An entry keyed in by hand stops at the first one. An entry that posted from a claim answers each question with the next hop, until it reaches the decision that caused it.

FOUR QUESTIONS, ONE HOP EACH

  1. What was recorded, and when? The line in the ledger: a coded, dated entry in the period it belongs to, against the accounts finance nominated.
  2. How did it get there? It posted from a claim in ClaimsCore, rather than as a journal entry somebody composed after the fact.
  3. What was it for?The entry names its own claim, so the next step is a claim number instead of a search through memo fields.
  4. Who decided, and on what? The reserve the payment was drawn against, who moved it and from which fund account, the invoice still on the claim, and the record of who did what and when.

WHAT MOVES

What Moves, and What Stays

VCA ClaimsCore posts the claim's financials to your general ledger via API. Everything that explains them stays in VCA, one hop away from the entry.

WHO FEELS IT

The question arrives from three directions

An auditor asks it on a schedule. A client asks it when a charge on their claim looks unfamiliar. A controller asks it because one of the other two is about to.

  • The External AuditorSamples a line and follows it to the claim, instead of issuing a request that turns into days of assembly work.
  • The Client Whose Claim It WasGets an answer in the terms of their own claim, because the charge and the claim were never separate records to begin with.
  • The Financial ControllerAnswers from the ledger they run, without opening a claims system or asking a claims manager what happened on a claim.

OFF THE DESK

What the Finance Team Stops Doing

Every one of these exists for one reason: an entry and the reason for it were being kept in two places by two different people.

  • The reconstruction exercise that starts whenever a posted line is questioned.
  • Rebuilding claim payments as manual journal entries in a second system.
  • The standing spreadsheet whose only job was bridging the claims system and the books.
  • Two versions of what a claim has paid, and the argument about which one is right.

THE BOUNDARY

A Trail, Not a Second Ledger

Sage stays the accounting system of record, with your accounts, your periods, and your controls. VCA stays the claims layer. Nothing here asks a finance team to change how they work, and nothing asks an adjuster to think in account codes.

Each system holds what it is built to hold, and the entry names the claim that joins them. For a finance team, capital efficiency looks like this: the claims layer goes in beside the ledger you already run, and nothing finance depends on is ripped out and replaced.

WHAT TO BRING TO THE CONNECTIVITY CONVERSATION

One posted line somebody questioned last year, the controller who had to answer for it, and the accounts you would want claim activity posted against.

Questions Finance Teams Ask About Sage

Does VCA Software integrate with Sage?

Yes. Claim financials post from VCA ClaimsCore to your Sage general ledger via API, and each entry keeps the claim that produced it. Sage stays your accounting system of record and VCA stays the claims layer.

An auditor pulls one line out of the ledger. What can we hand them?

The claim behind it. The claim already holds the reserve the payment was drawn against, who moved that reserve and from which fund account, the supporting document, and the record of who did what and when. Nothing has to be assembled after the question is asked.

What gets worked out before the connection runs?

Every VCA implementation starts with discovery: VCA maps how your claims actually move, including your reporting obligations and the handoffs between teams, before anything is configured. For Sage, discovery is where your controller settles which accounts receive claim activity and how it is coded for your periods and reporting. The connection is scoped there, with the rest of the build.

How long does implementation take?

The build sets the timeline, and discovery comes first on every one. On a Standard License, configured to your workflows, VCA goes live in 3 to 4 weeks. An Enterprise License build runs 8 to 16 weeks, and a Carrier License build 12 weeks to 6 months.

Is the Sage connection the same thing as DataBridge?

No. The Sage connection posts claim financials to your ledger through VCA's API framework. DataBridge is an add-on that delivers your claims data out to your own data warehouse or BI tool on a schedule you set, as often as hourly, so your analysts can combine it with policy, actuarial or financial data.

Bring us a claim where the promise was hard to keep

Take an entry your ledger already carries and follow it to the claim, the reserve it was drawn against, and the document underneath it. The walk settles more about a claims platform than a feature list does.
