Encircle, so the Evidence Lands on the Claim, Not on a Phone

Everything that will be argued about later gets captured on site, in the first hours after the loss. Whether that capture ends up on the claim or in somebody's camera roll decides how the argument goes.

VCA ClaimsCore brings Encircle field documentation onto the claim, so what the adjuster recorded standing in the loss is what the review reads months later.

  • Out: The Field Visit, to Encircle. Sent from the claim itself.
  • Back: Photos and Notes, onto the same claim. Read there by the desk, the reviewer and the client.
  • Without it: the same work goes to a phone in someone's pocket, and nothing comes back.

IN THE CLAIM

The scene changes, the record does not

Within days the water is extracted, damaged material is hauled away, and a contractor starts mitigation. What the adjuster captured that afternoon becomes the evidence, read by people who were never there and questioned by people with an interest in a different answer.

FROM THE ROOM TO THE CLAIM, FOUR STAGES

  1. Captured in the RoomPhotos of the loss before anything was moved, and notes taken while observing rather than that evening.
  2. Notes Taken on SiteObservations written while standing in the loss, not reconstructed that evening.
  3. Onto the ClaimAll of it lands on the claim that the review, the audit and the dispute will read.
  4. Read by People Who Were Not ThereThe desk, the reviewer and the client see the loss as it was found, not as it was described later.

WHAT MOVES

The Capture, Onto the Claim It Supports

Reviews, audits and disputes all open the claim. None of them open a folder on a phone, and none of them accept a recollection in place of a photograph.

WHO FEELS IT

One Visit, Three Readers

Delegated handling is judged on documentation more than on any other single thing, and the judging happens long after the visit that produced it.

OFF THE DESK

The Shift After the Site Visit

The worst version is a claim that fails a review on documentation the adjuster collected and never attached. The failure is administrative, and avoidable.

  • Uploading photos from a phone and naming them so somebody else can find them.
  • The photo folder renamed and re-uploaded after the visit.
  • The "can you send me the photos" email, and the wait that follows it.
  • Reviews that fail on evidence that was collected but never landed on the claim.

THE BOUNDARY

Where it lands is settled in discovery

Capture happens in the field, where the loss is. The claim is where that capture has to end up, because the claim is what every later reader opens.

Every VCA implementation starts with discovery. Where site documentation lands on the claim, and how it is organized once it gets there, is agreed then, before anything is configured, rather than found out in the first busy month.

One client's documentation standard, the strictest one you work to, and a claim that was reviewed against it.

Questions About Encircle and VCA

How does Encircle work with VCA ClaimsCore?

The field visit is sent to Encircle from the claim. The adjuster documents the loss on site, and the photos and notes come back onto the same claim in VCA ClaimsCore. The desk examiner, the reviewer and the client then read the evidence where they already read everything else about the claim.

If the documentation stays in the capture tool, who cannot see it?

The desk examiner, the reviewer and the client, which is why the direction matters. Evidence on the claim is evidence the people who judge the claim can actually read.

Why does contents documentation matter so much?

Because it is the part of a loss most often argued about and least often documented well. A contents list assembled from memory after the fact is weak evidence. A list captured in the room and attached to the claim is the version that holds up in a review.

We already use CoreLogic and Hover. Does this overlap?

They answer different questions. CoreLogic carries the property record, Hover carries roof and exterior measurements, and Encircle carries what the loss looks like on site. All three are named integrations, and all three land on the same claim.

Can a client see the site documentation without asking us for it?

With ClientPortal, an add-on to VCA ClaimsCore, your client has a branded login to the claims that concern them. Each document on the claim carries a Show On Portal flag, so the site photos you choose to share are there when the client looks, and the request for photos stops being a task for somebody.

What does it take to set the connection up?

It is scoped during implementation, and every VCA implementation starts with discovery: VCA maps how your claims actually move, including what each client's documentation standard asks for, before anything is configured. Bring the strictest standard you work to, because that is the one the claim has to satisfy.
